Minimum Requirements:
Grade 12, Secretarial Diploma, or equivalent qualification
Computer Literacy: MS Office
Advanced knowledge of Local Government operations, administrative procedures, document control, meeting protocols and office governance.
Advanced report formatting and document compilation skills & ability to multitask under pressure.
Effective verbal & written communication, organisational ,self and time management, etc.
3 years' experience in a similar environment
Core Responsibilities:
Co-ordinate and liaise the activities between Council offices, Departments and Structures on matters relating to service delivery.
Ensure all administrative tasks are preformed to the highest level of quality as agreed to with management.
Identify and resolve queries and problems timeously, apply discretion in line with provided guidelines and escalate unresolved problems.
Plan and organize own work tasks and routine tasks within area of work.
Manage enquires and complaints for the Head of Department by gathering and processing information and providing feedback.
Responsible for arranging and coordinating meetings, workshops, including catering & venue arrangements, all audio-visual aids, any necessary documentation required.
Manage the Office of the Head of Department to ensure smooth running of office systems and administration.
Handle all incoming and outgoing correspondence in accordance with the approved file plan and registry procedures.
Generate documents using word-processor, spreadsheets, e-mail and other PC office applications, including drafting of routine correspondence.
Adhere to specific standards, policies and Standard Operating Procedures.
Assess own performance, seek timely and clear feedback on contracted outputs.
Perform any other related secretarial/ administrative/ clerical duties, as and when requested by management.
Create a culture that builds rewarding relationships that enables exceptional customer service and ethical conduct. etc.

Personal Information may be shared by the CoE

Verification Information Suppliers for
verification or
other legitimate purposes;
Personal Information may be stored indefinitely
by
the CoE and/or the Verification Information
Suppliers.
I note that if the CoE has utilised the Personal
Information contrary to the Privacy and Data Protection
Conditions, I shall first resolve any concerns with the
CoE. If I am not satisfied with such process, I have
the right to lodge a complaint with the Information
Regulator.
I acknowledge that I may withdraw any consent provided
in terms of this Agreement and if so Personal
Information will only be processed if permitted under
the Privacy and Data Protection Conditions.
A copy of Personal Information kept by the CoE will be
furnished to me upon request in terms of the provisions
of POPI Act.
I unconditionally agree to indemnify the CoE and/or the
Verification Information Suppliers against any
liability that may result from the processing of
Personal Information. This includes unintentional
disclosures of such Personal Information to - or access
by unauthorized persons, and/or any reliance which may
inadvertently be placed on inaccurate Personal
Information provided to the CoE by myself and/or any
third parties.
I acknowledge that I have read and understand this
agreement and accept the conditions therein.
